Connect thousands of apps and automate busywork without writing code
## What is Zapier? Zapier is the best-known no-code automation tool. It connects the apps you already use and moves data between them. A new form entry can become a CRM contact, a Slack message and a spreadsheet row without anyone copying and pasting. Each automation is called a Zap: a trigger in one app followed by one or more actions in others. Zapier says it connects to more than 9,000 apps, with over 66,000 triggers and actions, and that more than 3 million businesses use it. That breadth is the main reason people pick it. If a SaaS tool has an API, there is a good chance it already has a Zapier integration, which saves you from building custom connections. Over the last few years Zapier has grown from a simple "when this happens, do that" tool into a wider platform. It now includes Tables for storing data, Forms for collecting input, AI Agents, Chatbots, Canvas for mapping workflows, and Zapier MCP for plugging your apps into AI assistants like Claude, ChatGPT and Cursor. ## Key features **Zaps.** The core product. You pick a trigger, then add actions. The free plan is limited to two-step Zaps, meaning one trigger and one action. Paid plans unlock multi-step Zaps, webhooks and AI fields, which is where most real business workflows live. A typical example is a lead form that creates a CRM contact, notifies sales in Slack and adds the lead to an email sequence in one run. **Tables.** A lightweight database your Zaps can read from and write to. It is useful for simple lead lists, approval queues or logs without paying for a separate database. Record limits are 2,500 on Free, 100,000 on Professional and 500,000 on Team. **Forms.** Build simple forms that trigger workflows directly, with conditional logic on paid plans. Unlimited forms are included on all plans, with page limits of 10 on Free, 50 on Professional and 150 on Team. **Agents and Chatbots.** Agents are AI assistants that take actions across your connected apps. The free Agents plan includes 400 activities per month. Chatbots answer customer questions and are priced separately, with a free tier of 2 chatbots. **Zapier MCP.** This gives AI tools like Claude, ChatGPT and Cursor one secure connection to your Zapier apps and actions. It is available to all accounts, but each MCP tool call uses two tasks, so heavy AI use eats into your task allowance quickly. **Copilot and Canvas.** Copilot, currently in beta, helps you build Zaps by describing what you want in plain language. Canvas lets you sketch and plan a workflow visually with AI before you build it, which helps when a process touches several people or tools. ## Best for Zapier is best for founders, solo operators and small teams who want automations working today and do not want to learn a technical tool. The interface is the easiest in the category, and the size of the app directory means you rarely hit a missing integration. It suits common business plumbing: routing leads from forms and ads into a CRM, posting alerts to Slack, syncing sales into a spreadsheet, sending onboarding emails, and connecting payment tools like Stripe to the rest of your stack. It is also a natural first step for founders who want AI assistants to act in their apps, since Zapier MCP covers thousands of tools through one connection. It is less ideal for high-volume, data-heavy or complex branching workflows. Because pricing is based on tasks, costs rise as volume grows. Technical builders who want self-hosting or fine-grained control often outgrow it. ## Pricing Zapier has a free plan with 100 tasks per month, unlimited two-step Zaps, Tables and Forms, and access to Copilot. Professional starts at $19.99 per month and adds multi-step Zaps, unlimited premium apps, webhooks and AI fields. Team starts at $69 per month and adds up to 25 users, shared Zaps and folders, shared app connections and SAML SSO. Enterprise is priced on request. Paying yearly saves 33%, according to the pricing page. Task tiers range from 100 to 2 million tasks per month, and the price rises with the tier you choose. If you go over your limit, Zapier can bill extra tasks pay-per-task at a higher rate if you turn that option on. Agents and Chatbots have their own separate pricing. ## Verdict Zapier is still the default choice for founders who want automation without a learning curve. If your workflows are simple to moderate and your volumes are modest, it will save you hours each week, and you will rarely run into an app it cannot connect. Choose something else if you run high volumes, need complex branching, or want to self-host. In those cases Make or n8n will usually give you more control for less money. A sensible path for many NCF readers is to start on Zapier's free plan, prove which automations matter, and only then decide whether the convenience is worth the per-task cost.
