n8n vs Zapier: Which Automation Tool Should You Use in 2026?

Short answer: pick Zapier if you want the fastest setup, the widest app catalog (9,000+ apps) and nothing to host. Pick n8n if your workflows have many steps, run often, or need code and AI agents, because n8n bills per workflow run while Zapier bills per action. Agencies and technical operators usually end up on n8n; solo founders wiring up a few apps usually stay on Zapier.

The difference that decides most cases: how each one counts usage

This is where the two tools part ways, and it matters more than any feature list.

Zapier counts tasks. Zapier's own help article defines a task as "anything Zapier successfully completes on your behalf." Each successful action step is one task. Triggers, filters, paths and Formatter steps are free, and failed steps are not charged. Code by Zapier and sub-Zap steps count as one task each, while AI steps and Zapier MCP calls use multipliers (each MCP tool call uses 2 tasks, per the pricing page).

n8n counts executions. n8n's pricing page counts one execution as a single run of the whole workflow, however many steps it has.

Here is what that means in practice. A lead-routing workflow with one trigger and four actions (enrich, score, add to CRM, post to Slack) that runs 1,000 times a month uses about 4,000 Zapier tasks. In n8n the same thing is 1,000 executions. The longer your workflows get, the wider that gap becomes.

Prices are from zapier.com/pricing and n8n.io/pricing in October 2026. Zapier's page says yearly billing saves 33% but does not list annual prices, and n8n's page shows annual prices only.

When Zapier is the better choice

  • You need an app n8n doesn't cover well. Zapier lists 9,000+ apps. If your stack includes niche SaaS tools, Zapier is more likely to have a ready connector.
  • You want zero maintenance. There is nothing to host, update or secure. Polling runs every 2 minutes on Professional and every minute on Team.
  • Your workflows are short. A two or three step Zap that runs a few hundred times a month is cheap on Zapier, and the free plan covers 100 tasks of two-step Zaps.
  • Non-technical teammates will build automations. Zapier's builder asks less of the person using it, and the Team plan includes shared workspaces and shared app connections.

When n8n is the better choice

  • Your workflows have many steps or run at volume. Per-execution billing is the main reason teams switch. See the worked example above.
  • You want to self-host. n8n's Community Edition runs on your own server. Its license FAQ says it "is free and applies to the self-hosted version of n8n only," and that you can use it to run your business.
  • You are an agency building for clients. n8n's license FAQ says you can build workflows for clients on your own instance and "charge your customers for workflow creation, setup, and maintenance services," as long as clients can't create or edit workflows themselves. You can't host n8n as a service for clients to build in, or white-label it.
  • You need code or AI agents in the flow. JavaScript and Python code steps, agents, MCP and AI nodes are included on n8n's cloud plans.

The trade-offs nobody mentions in the headline

  • Self-hosted n8n is free to license, not free to run. You pay for the server and you own updates, backups and security. The Community Edition also leaves out projects, workflow sharing (only the instance owner and the workflow's creator can access it), SSO, environments, Git version control, external secrets and log streaming. Those are on n8n's self-hosted Business and Enterprise plans.
  • n8n's cloud plans have limits worth reading. Starter allows 5 concurrent executions, 1-day workflow history and a 5-minute maximum execution time. Pro raises the maximum execution time to 40 minutes.
  • Zapier's free plan is a trial in practice. 100 tasks a month and two-step Zaps only means anything multi-step needs Professional.
  • Zapier's price climbs with volume. The pricing page lists a task slider rather than a fixed allowance at the $19.99 entry price, so check your expected task count on the slider before you commit.

What about Make?

Make sits between the two: a visual builder like Zapier, with operation-based billing. If you are weighing it too, our guide on how to build an AI agent with Make and the Make lead enrichment blueprint show what a real build looks like.

How to decide in ten minutes

  1. List your three most important automations and count the action steps in each.
  2. Estimate monthly runs for each.
  3. Zapier tasks = action steps x runs. n8n executions = runs.
  4. Check that every app you need has a connector in your shortlisted tool.
  5. Ask who will maintain it. If nobody on the team will look after a server, use Zapier or n8n Cloud, not self-hosted n8n.

FAQ

Is n8n cheaper than Zapier? For multi-step workflows that run often, usually yes, because n8n bills per run and Zapier bills per action. For a handful of short Zaps, Zapier's entry plan can cost the same or less, with less setup.

Is n8n free? The self-hosted Community Edition is free under n8n's Sustainable Use License for internal business use. You still pay for hosting. n8n Cloud starts at €20 a month billed annually.

Can n8n replace Zapier? For most automation work, yes, if the apps you use have n8n integrations or an API you can call. Check your full app list before you migrate.

Which is better for AI agents? Both have agents and MCP support now. n8n includes agents, MCP and AI nodes on every cloud plan. Zapier sells Agents on a separate plan (free plan with 400 activities a month, Pro at $33.33 a month billed annually) and offers MCP on all accounts, where each tool call uses 2 tasks.

Can I sell n8n workflows to clients? Yes, according to n8n's license FAQ, as long as you build and run them on your instance and clients cannot create or edit workflows. Reselling n8n as a hosted builder or white-labeling it is not allowed.
